How to plan a group trip to Orlando?

Quick answer

Start with a headcount and a car count, choose between one large vacation home or two homes in the same resort, and agree on how to split the bill before anyone books. At Orlando Best Place homes with 5 or more bedrooms, the median is $212 a night, or $14 per person with the home full, before cleaning and taxes.

Two or three families sharing a spring break, a family reunion, a church youth group, a travel ball team or a crew of old college friends. A group trip to Orlando costs less per person and is a lot more fun, as long as the hard decisions get made before anyone loads the car. This guide takes them in the order they come up.

Where do you start planning an Orlando group trip?

Start with the headcount: every person, their age and who they share a room with. That number drives everything else, from the size of the home to the number of cars, tickets and restaurant tables.

In that same first conversation, settle three things:

  • Who is the organizer. One person books the home and deals with the management company. Everyone else pays their share to that person.
  • The dates. Big groups have little flexibility, so book early. In Kissimmee, the average booking lead time for vacation rentals was 65 days between August 2025 and July 2026, according to AirROI.
  • The split rule. Decide whether the home is split per person or per bedroom, and whether cars and parking go into the shared pot.

One large vacation home or two homes close together?

For most groups, one large home is simpler and costs less in total. Two homes in the same resort make sense when families want privacy or keep very different schedules.

Large homes are common in the area. According to AirROI, 51.1% of Davenport listings and 35.2% of Kissimmee listings have 5 or more bedrooms.

In the table on this page, compare the per person median for Orlando Best Place homes with 5 or more bedrooms ($14) with the median for 3 to 4 bedroom homes ($23). The per person figure is the one that matters when a group splits the trip. If the group is still deciding between a home and hotel rooms, read vacation home vs hotel in Orlando.

How do you split the vacation home bill between families?

Per person when the families are about the same size. Per bedroom when one family takes up a lot more space. Whatever you choose, agree on it before you book.

Example: three families, 12 people, one week

This is an illustration built on market figures, not the price of an Orlando Best Place home. It uses the average daily rate in Davenport ($291) and the average Davenport cleaning fee ($302), from AirROI for August 2025 to July 2026. The tax is Polk County’s, where Davenport sits: 12% in total, made up of the 6% state sales tax, a 1% county surtax and a 5% tourist development tax, per Florida Department of Revenue forms. The average rate covers homes of every size, and the average Davenport listing sleeps 7.5 guests. A home for 12 can cost more.

LineMathAmount
Nightly rate7 nights × $291$2,037.00
Cleaningonce per stay$302.00
Polk County tax12% × $2,339.00$280.68
Total for the home$2,619.68

Now the split. Family A has 5 people in 2 bedrooms. Family B has 4 people in 2 bedrooms. Family C is a couple with one child in 1 bedroom.

FamilyPer person ($218.31 each)Per bedroom ($523.94 each)
A, 5 people, 2 bedrooms$1,091.53$1,047.87
B, 4 people, 2 bedrooms$873.23$1,047.87
C, 3 people, 1 bedroom$654.92$523.94

With two homes, each one charges its own cleaning fee, so that line alone doubles. At Orlando Best Place, the median nightly rate for homes with 5 or more bedrooms is $212, before cleaning and taxes, and the quote shows the exact total for your dates before you pay. Every line of the bill is explained in how much it costs to rent a vacation home in Orlando. The full trip budget, with travel and parks, is in how much an Orlando family vacation costs.

How many people can stay in the vacation home?

The limit is the maximum occupancy shown on each home’s listing. Do not bring more people than the listing allows, and do not plan on an air mattress to squeeze in one more.

In Florida, a vacation rental needs a license from the state’s Division of Hotels and Restaurants (DBPR) when the whole unit is rented more than three times a year for less than 30 days, or when it is advertised as a place regularly rented to guests. State law (section 509.032 of the Florida Statutes) bars cities and counties from banning vacation rentals or limiting how long or how often they are rented. Occupancy rules, though, vary by county and by resort. Ask the management company before you commit.

Resorts also have rules that matter for groups: quiet hours, clubhouse access, outside visitors and parties. The common ones are covered in the rules at Orlando vacation home resorts.

How many cars does the group need, and where do they park?

For 12 people, the math works with two large vehicles or one van. Alamo’s minivan (Chrysler Pacifica or similar) seats 7 with room for 5 bags. Enterprise’s 12 passenger van (Ford Transit Wagon or similar) seats 12 with room for 7 bags.

  • Two cars give you freedom: one family heads to the park at rope drop while the other stays at the pool. The trade-off is two rentals, or two cars driven down, and two parking fees. At Disney, standard parking is $35 a day per car and is good all day at all 4 theme parks.
  • One van keeps the group in a single vehicle and a single parking spot, but everyone leaves and comes back together.

Driving down from Georgia or the Carolinas in two family cars works the same way: count both cars when you check parking at the home.

At the home itself, every resort has its own rules about driveway and street parking. Before you book, confirm on the listing or with the management company how many cars the home allows. For vehicle choice, tolls and driving tips, read do you need a car in Orlando.

How do you divide the bedrooms between families?

Assign rooms by need, not by who arrives first. A few rules that keep the peace:

  • Rooms with their own bathroom go to couples. Check the listing for how many en suite bedrooms the home has.
  • Grandparents on the ground floor, if the home has a downstairs bedroom.
  • Kids together in the bunk room or themed room, away from early sleepers.
  • Baby next to the parents, with the crib confirmed before the trip.
  • If you split per bedroom, whoever pays for more rooms picks first.

Count the bathrooms too. Twelve people heading out for an early park day with only a few bathrooms means a line.

How do you book park tickets and dining for a large group?

At Disney, group rates are for parties booking 10 or more rooms at Disney Resort hotels, according to planDisney, Disney’s official Q&A channel. A group staying in a vacation home buys regular tickets.

Disney dining. Guests not staying at a Disney hotel can book up to 60 days in advance. For a group of 18 to 20, planDisney suggests splitting into two or more tables of up to 10 guests and calling 407-939-3463 (407-WDW-DINE). Cooking dinner at the house on your most tiring park days also helps the budget.

Lightning Lane. Disney hotel guests can buy up to 7 days before their trip. Everyone else can buy 3 days ahead. Decide in advance who buys, and for how many people.

Universal for church groups, youth groups and teams. Universal has its own rates for general youth, religious and sports groups, priced the same for youth and chaperones. The 2027 rates are out, and the order form goes up on UniversalOrlandoYouth.com in December 2026. Some prices per person, before tax:

2027 group ticket (youth or chaperone)Regular seasonPeak (March 12 to 28 and December 15 to 31)
3 day Park-to-Park, Universal Studios, Islands of Adventure and Epic Universe$326$390
4 day Park-to-Park, same 3 parks$341$405
2 day Park-to-Park, Universal Studios and Islands of Adventure$193$223

Source: Universal Orlando Youth Pricing 2027. Florida groups get 1 free chaperone ticket for every 10 paid youth tickets. Out of state groups get a maximum of 2 free chaperone tickets per order, and the order must include at least 20 paid youth tickets. Volcano Bay is closed for maintenance from October 26, 2026 to March 31, 2027.

A group of friends usually has time for something besides the parks, and a golf day is a classic. The courses are in where to play golf near Orlando.

In practice: before you book, build a shared spreadsheet with one row per family: people, bedrooms, cars and park days. Use it to request a quote with the real number of guests and cars. When the math works on paper, nobody argues at checkout.
